Scheduling Sessions
Weekly therapy sessions support effective therapeutic treatment and allow Playroom Therapy to manage waitlists with greater accuracy and efficiency. In accepting a weekly therapy time with Playroom Therapy, clients agree to attend all scheduled sessions - extenuating circumstances excluded. Playroom Therapy will speak directly with clients who regularly cancel appointments to explore barriers to attendance and to discuss whether or not now is the 'right time' for therapy.
Client Cancellations
Playroom Therapy understands that sickness and personal circumstances will prevent children from attending appointments from time-to-time. At the same time, missed sessions cannot be offered to another child on an ad hoc basis, due to the fact that play therapy sessions occur weekly. This means that we need to protect your child’s weekly session time and cannot offer it as a ‘one off’ to someone else.
With this in mind, clients are permitted to cancel one session per school term at no cost. This is known as an initial term cancellation. Subsequent cancellations in the same school term will attract a holding fee of 50% of the regular session fee. Cancellations of less than 48 hours notice are known as late cancellations. These missed sessions will attract up to 100% of the regular session fee. The same applies for 'no shows'.
In ALL circumstances, therapists will endeavour to offer families the opportunity to reschedule any missed appointments, or to offer alternative options for support, to avoid cancellation fees. Alternatives might include teleplay sessions, online parent sessions, or non-face-to-face support, such as liaison with other professionals for case consultation, resource development or report writing.
Ill Health
If a child or parent/carer is showing any signs of fever, coughing, sore throat, flu, etc., they must not attend a session in person. Similarly, if a parent/carer or child is required to isolate due to government regulations (such as COVID-19 isolation requirements), they must not attend a session in person. In such cases, your therapist will endeavour to transfer your face-to-face session to a telehealth session. If this is not possible, regular cancellation fees will apply.
Group Play Therapy - Term-run Groups
Group Play Therapy sessions are generally run term by term. When clients join a group, they commit to participating for the length of the term in its entirety.
Group play therapy fees are non-refundable, regardless of sickness or holidays taken by the family, etc., with consideration given to extenuating circumstances. If families are not in a position to fund group play therapy upfront, alternative arrangements can be made.
Group Play Therapy - School Holiday Intensive
The School Holiday Intensive Group runs for 5 consecutive days. When clients join a school holiday intensive group, they commit to participating for all five sessions.
Families are required to pay for the school holiday intensive prior to the initial session to secure their child's spot in the group. Fees are non-refundable, regardless of sickness or holidays taken by the family, etc., with consideration given to extenuating circumstances. If families are not in a position to pay for the school holiday intensive group upfront, alternative arrangements can be made.
Outreach Program - St Mark's and St Kevin's Primary Schools
Playroom Therapy offers outreach sessions at both St Mark's and St Kevin's Primary Schools. To ensure the sustainability of the Outreach program, families who engage play therapy services through Playroom Therapy's Outreach Program, commit to a full term of therapy at a time. I.e. families agree to reassess their child's participation in play therapy at the end of each school Term, and not before.
